We use member information to operate a credible B2B research community, select suitable studies, communicate with members, conduct and quality-check research, protect the community and administer Voice Rewards. We do not sell the Business Voice member contact database. Identifiable information is shared only where there is an appropriate and explained reason.
This Privacy Notice applies when a person applies to join, becomes a member, uses the Business Voice portal or mobile experience, responds to research, attends an interview or group, communicates with Insight Survey, or is lawfully referred to Business Voice by an approved recruitment source. It should be read together with the Business Voice Terms & Conditions and any additional notice presented for a specific research activity.
The responsible party is Insight Survey [full registered legal entity and registration number]. Business address: Unit 154 B&C, Block E, Millennium Business Park, 19 Edison Way, Century City, Cape Town, 7441. Information Officer / privacy contact: Erika de Lange, [email protected]. Cape Town: 021 045 0202. Johannesburg: 010 140 5756.
Information may be collected directly from the member, through registration and research activities, from approved recruitment partners, from a research client that lawfully provides a contact list, from public professional or business sources, or from systems used for verification and fraud prevention. Where information is received from another source, Insight Survey will take reasonable steps to ensure the collection and referral are appropriate and to provide required information to the member.
The lawful basis will depend on the activity and may include consent, performance of the membership arrangement, a legal obligation, protection of a legitimate interest, a legitimate interest that does not unjustifiably override a member's rights, or another basis permitted by POPIA. Where consent is the basis, it may be withdrawn. Withdrawal does not make earlier lawful processing invalid and may affect the ability to continue a particular activity or membership service.
Member profiles may be used to identify suitable research participants by role, industry, business size, purchasing authority, technology usage, geography, experience or another relevant criterion. This profiling is intended to improve research relevance and quality. It is not intended to make legal, credit, employment or similarly significant decisions about a member.
Research outputs will normally use combined, statistical, anonymous or de-identified information. Insight Survey may retain a link between a response and an account where this is needed for administration, quality control, follow-up, Voice Reward processing or research integrity.
A member's identity, direct contact information, recognisable recording, attributed quotation or named business case will not ordinarily be given to a client unless the member has agreed, the disclosure is necessary for an activity the member chose to join, or disclosure is required by law.
Information may be processed by authorised Insight Survey staff and contracted operators that support Business Voice. These may include QuestionPro, communication providers, recruiters, interviewers, moderators, analysts, translators, transcription providers, verification services, voucher and charity-donation providers, cloud or security suppliers, auditors and professional advisers. Operators should receive only the information required for their approved service and must be subject to suitable confidentiality, security and processing obligations.
Some approved technology or service providers may process personal information outside South Africa. Where personal information is transferred across borders, Insight Survey will take reasonable steps to ensure that the transfer and the safeguards applied are consistent with POPIA and the applicable service arrangements.
Research invitations, account notices and community updates are used to operate Business Voice and support member participation. Where a communication promotes unrelated goods or services or constitutes direct marketing, Insight Survey will apply the additional consent, preference and opt-out requirements that are relevant. Members can manage available communication preferences and can leave Business Voice at any time.
The platform may use essential cookies and similar technologies to maintain sessions, remember settings, route surveys, measure performance, protect account security and identify duplicate or suspicious activity. Where non-essential technologies are used, appropriate notice and choices will be provided where required by the live platform configuration and applicable law.
Where an interview, group or usability session is recorded or observed, members will be told what will be recorded, who may observe or receive the material, how it will be used and, where relevant, the applicable retention approach. A member may decide not to join a recorded activity. Recordings, transcripts and clips will be access-controlled and used for the disclosed research purpose unless further permission is obtained.
Members should provide accurate information and update their profile when it changes. Insight Survey may periodically ask members to review or refresh important details and may correct information that is demonstrably inaccurate.
Insight Survey will implement reasonable technical and organisational measures appropriate to the nature of the information and foreseeable risks. Measures may include access control, authentication, secure hosting, encryption where appropriate, backups, monitoring, supplier due diligence, staff confidentiality, incident procedures and periodic review. If a security compromise occurs, Insight Survey will investigate, contain and document the incident and make notifications required by applicable law.
Information will be kept only for as long as reasonably needed for the stated purposes, completed research, quality assurance, Voice Reward records, accounting, legal obligations, complaint handling, security or fraud prevention. When information is no longer required, it will be securely deleted, destroyed, anonymised or de-identified, subject to legal and research-integrity requirements.
Subject to POPIA and lawful limitations, a member may request confirmation of whether personal information is held, access to that information, correction or deletion, an explanation of processing, objection to certain processing, withdrawal of consent where relevant, and changes to communication preferences. Insight Survey may request identity verification and may limit a request where information must lawfully be retained or another person's rights must be protected.
When a membership is closed, ordinary research invitations will stop and the active profile will be deactivated or removed in line with the applicable retention approach. Completed research may remain in de-identified, aggregated or otherwise lawfully retained form. Any qualifying Voice Reward already earned will be handled under the survey-specific reward rules. Where the survey has closed and the member qualifies, the selected Takealot voucher or charity donation will be processed within 5 business days after survey closure, subject to the applicable quality checks.
Business Voice is intended for people aged 18 or older and is not designed to recruit children as B2B members. Any separate research involving children or young people would require its own lawful basis, notices, permissions and safeguarding arrangements.
Members are encouraged to contact Insight Survey first so that a concern can be investigated and resolved. Internal privacy contact: [email protected]. A member may also lodge a complaint with the Information Regulator of South Africa using the Regulator's published complaint process.
This Privacy Notice may be updated when Business Voice, applicable law, technology or supplier arrangements change. The current version will show its effective date. Material changes may also be communicated through the portal or directly to affected members.
